Internal implementation · Beach Intelligence

How we run Beach Intelligence

Beach Intelligence uses Microsoft sign-in for its staff workspace, a shared inbox for business texts, and a separate portal for client documents and billing. We built the connections around our own team's work.

The requirement was straightforward: staff need access to client work, while clients need access to their own records. Calls, messages, and payment activity also need to reach the people handling them.

  2. Microsoft EntraSign-in and multifactor authentication
  3. Staff workspaceAccess for approved team members

  2. Client portalAccess checked for that client
  3. Their recordsInvoices, receipts, and signed agreements

One staff sign-in

Our team signs into the admin workspace with Microsoft Entra. The application checks that the person is approved for staff access and has completed multifactor authentication before opening the workspace.

Client accounts use a separate sign-in and do not grant access to staff tools.

A business number the team can work from

Twilio handles our business calls and texts, with routing that sends calls to staff or voicemail and email notifications that let the team know when a message needs attention.

Staff can read text conversations and reply from the shared inbox. The callback tool connects a staff member to the customer using the business number.

Agreements and payments with a client view

Our admin system supports electronic signing and invoicing. Clients can sign in to find their available signed agreements, view invoices, and download receipts for eligible payments.

Stripe hosts the payment flow and handles card details. The client portal keeps billing records separate from the staff workspace.

Files and credentials in their own tools

We use SharePoint for team files and Bitwarden for passwords. Staff keep links to relevant documents with their work records, while the files remain in SharePoint.

The admin system brings client operations together without becoming another place to copy passwords or store every business file.

Implementation details and scope

Microsoft Entra authenticates staff; our backend validates access before returning admin data. Client authentication and document-access checks are handled separately. Twilio connects calls and texts to the application, while Stripe provides hosted payments. The application runs on AWS, and Microsoft 365 and SharePoint support the team's email and files.

Our current phone service uses a menu, call routing, and voicemail. People write the text replies. Conversational AI answering and document classification are separate example workflows on this site.

Client highlight · Rose Law Nevada

Website and intake system for a Nevada law firm

The project: replace the firm's WordPress website and connect the website to client intake. We built a website and private content manager so the team can publish cases and testimonials, maintain service pages, and manage new inquiries without editing code.

  • Rebuilt the WordPress website with static pages and a separate content management system
  • Pages for practice areas, Nevada locations, case results, and Spanish-speaking visitors
  • Private CMS, so the firm updates cases and testimonials without touching code
  • AWS hosting and a lightweight frontend

Founder-owned studio · Thomas Beach Photography

Photography website and client platform

Built for co-founder Thomas Beach's photography business: private client galleries, booking, payments, licensing, and the tools used to run the studio.

  • Private client galleries behind an email and PIN gate, with favorites, expiring signed links, and automatic delivery when a balance is paid
  • Booking that authorizes a card deposit up front, captures it on acceptance, and sends its own reminders by text and email
  • AWS hosting with Lambda, DynamoDB, and CloudFront
  • A custom admin area for managing the business
