A team with complex existing Office files should test compatibility carefully. A team whose work already happens in a browser should trial that workflow in both. Neither test replaces checking the current plan details.

Try your everyday work

Make a list of the documents, spreadsheets, shared folders, and calendars your team relies on. Test those tasks in the plan you are considering, including file sharing with customers and outside partners.

Check access and administration

Write down the account controls and device management you need. Compare the specific plans that cover those requirements rather than assuming every subscription includes the same tools.

Compare the complete bill

Count active users, unused licenses, storage, and separate tools you already pay for. Include migration and support costs in the comparison. Consolidating accounts may be worth investigating before changing providers.

Have a clear reason to move

A change should solve a problem you can name, such as a missing feature, a difficult integration, or an account setup that has become hard to manage. Staying with a familiar system is also a reasonable choice.
